Example conversation

See it work

Snap it, and it's in your books.

  1. 1

    Snap or forward

Text a photo of the receipt, or forward the email. No app to learn.

  2. 2

    AI files it

It reads the vendor, amount and date, and categorizes it with your rules. If it's unsure, it asks.

  3. 3

    You approve

Once a week you review what's new in QuickBooks or Xero and approve it, instead of typing it in.

The problem

Why it matters.

Shoeboxes of receipts, uncategorized transactions and a scramble at month-end or tax time. Accountants bill for cleanup that could have been automated.

What's included

What it does.

  • Receipt capture by photo, text or email forwarding
  • AI categorization with your rules
  • Bank feed reconciliation prep
  • Bill capture and approval workflow
  • Monthly close checklist
  • Works alongside your accountant or bookkeeper

How it works

From first call to live.

  1. 1

    Connect accounts

    Bank, cards and accounting software.

  2. 2

    Teach the rules

How you categorize vendors, jobs and expenses.

  3. 3

    Weekly review

You or your accountant approve, rather than enter.

Who does what

The busywork is automated. You stay in charge.

Automated
  • Entering receipts and bills
  • Categorizing transactions by your rules
  • Matching transactions to your bank and card feeds
  • Reminding you about missing receipts
  • Preparing the monthly close checklist
Still you (or your accountant)
  • A short weekly review to approve what's flagged
  • Decisions on anything unusual
  • Taxes, tax advice and payroll

Example

A month of bookkeeping, before and after.

Before: by hand
  • About 300 transactions entered or categorized one by one
  • Receipts in the truck, the inbox and a shoebox
  • 6 to 8 hours a month, usually at night
  • Books caught up at tax time, with a cleanup bill
After: automated
  • Receipts snapped or forwarded the day they happen
  • Transactions categorized automatically, unsure ones flagged
  • About 20 minutes a week to review and approve
  • Books current every month, ready for your accountant

Illustrative example for a contractor with about 300 transactions a month, not a client result. Your numbers depend on your business, and the free audit estimates them.

Who it's for

Best fit.

  • Small businesses of every kind
  • Contractors
  • Restaurants
  • E-commerce
  • Professional services

Works with your tools

Nothing to move.

I build around what you already use. Common examples:

  • QuickBooks Online
  • Xero
  • Dext
  • Ramp
  • Expensify
  • Google Drive

Bookkeeping Automation questions.

What is bookkeeping automation?

Software and AI handle the repetitive parts of bookkeeping: capturing receipts, entering and categorizing transactions and matching them to your bank feed. A person only reviews and approves.

Can AI do my bookkeeping by itself?

It does the data entry and suggests categories, but a person stays in charge. You or your accountant approve the books, and anything the AI isn't sure about gets flagged instead of guessed.

How accurate is AI categorization?

It follows the rules you set for your vendors, jobs and expense types, and it gets better as you correct it. Anything it can't match with confidence goes to a review list, so nothing gets filed silently.

Does this replace my accountant?

No. It handles the data entry so your accountant can focus on advice and taxes, often at a lower bill.

Does it handle taxes or payroll?

No. Taxes and tax advice stay with your accountant or CPA, and payroll stays with your payroll provider. Clean, current books just make that work faster.

What does it cost?

From $199/mo plus a $750 one-time setup. The final price depends on how many accounts and transactions you have, and you get it in writing after the free audit.

How long does setup take?

It depends on how many accounts you have and how current your books are. You get a timeline in your written plan after the free audit.

What if my books are behind?

They can be caught up first as a one-time cleanup project with our accounting partner, then kept current with automation. Cleanup is quoted separately after the free audit.

Do I need QuickBooks?

No. QuickBooks Online and Xero are the most common, but it works with other accounting software too. If you don't use any yet, I'll help you choose.

Is my financial data secure?

It uses bank-grade connections built into your accounting software, and access stays in your accounts.
